  1. What you can expect when working with me

My goal is to provide you with website copy and other forms of written content, as per your request/guidelines that reflect you as your brand, that you have the utmost confidence in and that you absolutely love.

Once we start to work together, it is very much about building a mutual relationship of trust, honest and integrity.

Communication is, and always will be, key.

There is no such thing as a silly question.  Therefore, never be afraid to ask about anything.  From start to finish, it is about providing you with words and copy to build a successful brand and inspire confidence.

  1. Agency Contracting Terms

If you contract me on behalf of an Agency to work on a project for one of your clients, a contract is between me and the Agency and not between me and the client of the Agency. In the case of any claim by any client of the Agency for damages or compensation brought about as a direct or indirect consequence of the use, or inability or unwillingness to use, the material I write for you, you agree to indemnify me.

  1. My Guarantee

You can expect me to be committed to our professional relationship. I will be available for phone calls and meetings at agreed times and will always reply to emails within a 48-hour period, usually much earlier than 48 hours. You can expect honesty and integrity in all aspects of our dealings together. My aim is to be transparent in all areas of our working relationship; communication, copy and content creation and payment.

If you are dissatisfied with the work that I have written for you, please let me know, in writing, as soon as possible and I will do my best to resolve your concerns.

If you still consider that I have failed to deliver work suitable for your purpose when measured against the requirements of the brief, you will be free to terminate our contract.  Genuine fair and reasonable consideration will be given to reimbursement, in full or part thereof.

  1. What I expect when working with you

I expect for us to work in partnership at all times throughout any given project.

All my services require a varying level of input from the client e.g. Full On Flamboyance (Website Copy Provision).  It is the responsibility of the client to undertake the work required, in order to provide necessary information for me to create copy and content that is bespoke to the client brand.

I ask that this is provided with an agreed timescale prior to work being carried out.

I expect you to be courteous at all times, as I will be with you. Honesty and integrity on your part, as well as mine, will help us to communicate well and end up with copy and content that you are delighted with.

  1. Supplying Information

It is your responsibility to supply all information that is requested and necessary for your website copy, blogs, social media content, sales/landing pages and any other copy that I am commissioned to provide.

When I supply you with Strategy Documents of any kind, I would ask you to complete fully and honestly and then photograph/scan to return to me, within an agreed time frame.

Please alert me to any technical issues with such documents within 24 hours of receipt, in order that I can rectify.

  1. Copyright

By supplying text & other data to The Pretty Pink Flamingo Agency, for inclusion in your website/ marketing materials, you declare that you hold the appropriate copyright and/or permissions. The ownership of such materials will remain with you, or rightful copyright of owner.

By supplying text and any other data to The Pretty Pink Flamingo Agency you are granting The Pretty Pink Flamingo Agency permission to use this material freely in pursuit of the copy of your website/ marketing materials.

You agree to fully indemnify and hold The Pretty Pink Flamingo Agency free from harm in any and all claims resulting from you in not having obtained all the required copyright and/or any other necessary permissions.

You are responsible for ensuring the wording used in your website/marketing materials does not breach any third party rights, credibility, trademarks, copyrights, etc.

  1. The process:  Project brief and timescales.

Website Copy

The more information you provide at the beginning of the project, the more smoothly the project will run.

In all cases I will ask you to complete, with me, a comprehensive Brand Strategy Document which shall remain the property of the client.

In addition, the client will be consulted and asked to provide up to 5 competitors to enable me to conduct Competitor Analysis.  The findings will be put in to a document and will also be the property of the client.

Once you have provided all the information needed and payment, or first stage payment in accordance with a payment schedule, has been received in cleared funds, we will agree a start date for the project and a date when you can expect to view the website copy in first draft format, or draft copy format for any other service.

I aim to deliver website copy in first draft format 4 – 6 working weeks after commencing the project. I can only achieve this if I have all the content needed as per our initial consultation.

I will supply copy in either Word Document or Google Docs – according to your preference.

Once you have viewed the copy/content in its first draft format you have an opportunity to suggest any changes you would like made.

I will give you 14 days to review any changes for each draft.

The fee quoted allows for 3 rounds of revisions

Should a substantial change to the copy be required further to the first draft an additional fee may be incurred. If you require more than two rounds of revisions I will quote on an hourly rate. In the event of no revisions being required the agreed fee stands.

Should the scope of a project be altered by you part-way through we will need to reassess, and I may need to requote for additional fees to reflect any additional work required.

Should you wish for any updates or changes to be made to the website copy after sign off or at a later date, contact should be made by email and any work is chargeable. A rate to be agreed prior to the commencement of work.

I will make every effort to ensure your project is delivered on time.  In the unlikely event that I cannot meet the agreed deadline, I will let you know as soon as possible.  I will not be held liable for any loss or damages to any party as a result of a missing deadline.

Blog Posts

Blog Post (800 – 1000 words)

Blog Post (1000 words and above) charged out at an extra £15 per 200 words.

Social Media Content Posts

These will be supplied according to your business type and nature and will be a mixture of bespoke and engagement posts.  Posts will vary in length according to the content matter.

  1. Errors

I work hard to ensure that the copy I produce for you is free of spelling mistakes and other literals. However, the responsibility for checking for spelling mistakes and literals is yours, as the client.  You absolve me of responsibility for any costs incurred due to the appearance of such errors in the published form in which you use the copy concerned.

  1. Working hours, availability & response times

Working hours are Monday to Thursday, 9am – 4pm. Occasionally you may receive an email or response from me outside of these hours. I will not expect for you to reply outside of working hours.

I aim to reply to emails/return calls within 48 hours.

Communication between us will be via email, telephone and Skype/Zoom. Please do not contact me via WhatsApp or Messenger.

  1. Payment

Website Copy

Payment terms are a minimum of 30% of the agreed price, as a deposit. And then, stage payments, as agreed until the final payment.  Once cleared funds are received, I will confirm a date when work on your copy/content will begin. This date is dependent on receiving all the information needed as previously outlined in the “What I expect when working with you,” section.

Other project payments

In the case of payment for social media content blog writing and any other content creation, all funds should be paid in advance of the project starting.

  1. Cancellations

Should you decide to cancel the project following payment of a deposit or similar stage payment, you will forfeit a minimum of 50% of the deposit paid.  If cancelled once work has commenced, you will forfeit your entire deposit and any stage payments that have been made.  Any kind of refund will be as a gesture of good will.

  1. Recommendations of other professionals

During our work together I may recommend other professional services to improve your website and online presence. This includes but is not limited to: web designers, photographers,  SEO experts, branding specialists and graphic designers. These professionals are purely recommendations and I am not responsible for any communications, services provided or payments agreed should you engage them in their services.

  1. Your Rights

You are purchasing the copyright to the work I write for you when you commission me to write copy for you. The copyright is transferred to you on final payment of the invoice.

Monthly package clients can use the copy once sign-off has been agreed.

Unless forbidden by a confidentially agreement, I reserve the right to share a sample of the work in my portfolio, I will check with you first.

  1. Confidentiality and security

You can be assured that I will keep anything that you tell me about your business that is commercially sensitive confidential. From time to time I might need to involve other freelancers/agencies in a project, for example, a graphic designer, photographer or web designer. I will tell you first and they will similarly agree to keep confidentiality.

I will be happy to sign a non-disclosure agreement should you pass information, materials or data to me as part of a project.

You agree to indemnify me against any action by you or your client, associated with the accidental disclosure or loss of this information.

  1. Legalities and Copyright

You, as the client, are fully responsible for proof-reading and publishing the final project (print/online).

You, as the client, are responsible for the authenticity of materials, research, quotations and references supplied. That the material you supply me with is accurate and legal.

Also, you must ensure that the facts or details in the final draft are correct. Once you have approved the final draft, I take no responsibility for the copy or any legal repercussions that arise as a result of your use of it.

I will not be liable to you for any loss of profits or indirect loss arising in any way in connection with the performance of the obligations related to any project you contract me to work on.

If you send me draft copy, you affirm that you are the copyright holder or have the authority of the copyright holder to use this material as part of the new copy. You agree to indemnify me against any claim arising from suggestion that the new copy in any way breaches the copyright.

I make every attempt to make sure that my work complies with the law, however it is your responsibility to submit all copy for legal review.
